Case Study: Executing a Massive Multi-Zone Corporate Summit in Barcelona in 48 Hours

International agencies face incredibly high stakes during top-tier corporate conventions. Recently, a major summit took place at Fira Gran Via in Barcelona. There, the production agency faced a monumental logistical challenge. They had to design, build, and install three massive operational zones. Furthermore, they had to do this simultaneously within a strict 48-hour window.

Therefore, they needed a strong local partner. This partner needed the capacity to pre-build custom CNC carpentry off-site. In addition, they needed the operational muscle to execute large-scale event scenography seamlessly. Ultimately, they chose Saez Decom.

The Challenge: Three Simultaneous Mega-Zones

This convention demanded a massive deployment of materials and crew. Specifically, the client needed three distinct environments built at the exact same time:

  1. The Keynote Arena (Main Stage): First, we built a gargantuan 250 sqm stage. It was designed for high-profile global speakers.

  2. The Breakout Tracks: Second, we created several secondary stages. These required massive self-supporting walls and complex 3D branding.

  3. The VIP Lounges (Space Oasis): Finally, we delivered custom-built immersive networking areas. These featured organic shapes and integrated landscaping.

The primary hurdle was time. We had exactly two days to unload trailers of custom carpentry. Then, we had to assemble the structures and secure everything. All of this had to happen before the AV teams arrived.

The Saez Decom Solution: Pre-Fabrication and Scale

Relying on standard rental equipment was impossible for a project of this scale. Instead, our strategy relied entirely on robust pre-fabrication. We utilized our local workshops in Barcelona and Madrid.

1. The Keynote Stage: Floating Design and LED Integration

  • The Build: We constructed a fully customized 25x10m platform system. We finished it completely with premium black carpeting and rigid wooden fascias.

  • The Integration: We wanted a modern, “floating” aesthetic. Therefore, our carpentry team routed custom channels into the fascias. This allowed us to embed DMX-controlled RGBW LED strips seamlessly.

  • The Branding: Additionally, we built a dedicated 12-meter base for a massive 3D logo. We also included custom FOH (Front of House) risers.

2. The Track Stages: Structural Backdrops & CNC Precision

These secondary rooms required high-end finishes. They needed to look permanent, not temporary.

  • Heavy-Duty Walls: We built massive 20x4m self-supporting backdrops. We used custom wooden frames upholstered in high-tension printed canvas. Also, our engineers reinforced the internal structures to support heavy AV elements.

  • CNC Geometry: The client’s design featured complex semi-circular shapes. Consequently, we used our in-house CNC machinery to precision-cut massive MDF panels. We floated them using custom 45mm spacers for a deep, 3D effect.

3. The Lounges: The “Space Oasis” Immersion

Networking areas require a completely different approach from stage design.

  • Scenic Carpentry: First, we fabricated multiple scenic corners and seating areas. We used CNC-cut wood painted to exact RAL specifications.

  • Fictitious Landscaping: Next, we integrated organic elements to achieve the “Oasis” concept. We supplied cubic meters of real sand and desert plants. As a result, we matched the client’s 3D renders perfectly.

By pre-fabricating the complex elements locally, we handled the immense volume easily. This prevented any bottlenecking during the on-site build.
